You can also use the built-in stop watch for live tracking, just click ‘start’ and ‘stop’ every time you switch between tasks and the app will generate live, blog-style time logs for you as you carry out your work.

To complement the manual or stopwatch-tracking, Clockify also adds several automatic time-tracking features that detect time spent based on user activity across integral apps and tools, so no input is required apart from starting the clock, meaning there is minimal chance of hours being missed. Clockify also lacks any form of a Gantt chart, and when handling larger projects, the interface can become somewhat cluttered.

The mobile app is significantly less functional than the desktop or web version, and while it does allow you to take photos of receipts or time cards, the photo quality tends to be low. Collaboration tools are nice but are less advanced in Clockify compared with other time-tracking software.

While you can communicate with others and see their availability, you can’t conduct one-on-one assessments through instant messaging, and you can’t establish real-time communication. The reporting tool is nice, but its filtering is limited so, although the reporting setup is easy, it’s harder to create highly specific reports.

Potential Drawbacks

Clockify’s reporting and analytics tools are generally pretty good, but their customization options are fairly limited, which can make it difficult to get reports to look how you want them to, and they can take a long time to run when your dataset is large.

Potential Drawbacks

Potential Drawbacks

The UI can feel outdated, which might impact usability. Limited management abilities could affect users who want or need dense customization or integration. Performance might ding us if we add a lot of widgets, or the data we are working with is large/massive.

These concerns notwithstanding, the mutable dashboard is nevertheless a powerful tool, and one that can be managed to mitigate the pitfalls.

User permissions and roles

And speaking of security, Clockify implements a setup that is suited for businesses and enterprises because you can individually define user permissions and roles. But it can still be used for individuals or small teams. There are three roles: Admin, Manager and Employee. The responsibilities of each role are already predefined and can be adjusted to suit your needs. You get to decide what each of your users can and cannot see and do.

Permissions for each role can be customized in granular detail, so that only the features you want (say, project management and reporting) may be edited by your managers, and only the features you really want can be edited by your admins. Managers can watch over staff activities, approve time-off and see overall performance reports.

This way, users are granted role-based access and are able to perform only their tasks, effectively eliminating any potential confusion that could put the security of the company or the efficiency of the work at Clockify at risk.

Automated Time Tracking

Automated time tracking means that this clocking in tool will trigger a timer whenever the user is active for more than a certain amount of time, eliminating the need for manually logging the activities. What’s more, there is an option to integrate Clockify with other tools, such as Trello and Asana. Whenever the user works in these applications, it will also trigger a timer.

You can send users notifications and reminders so they won’t forget to turn a timer on or off, for example, when moving from one task to another.

Clockify’s automated time tracking can not only boost productivity by preventing the need to break focus several times a day, but it also enables users to keep up with their progress and accurately keep track of how they spend their time.

Clockify Mobile App

Employees can start and stop timers, enter hours by hand, and keep track of projects on the fly using their phones. The software company promises that adding time recordings while offline will sync with the system once the user is connected to the internet.

However, I encountered some delay in the synchronization process, which meant that sometimes a few minutes would not be recorded. And because it syncs vaguely on a five-minute scale, a few minutes can be the difference between a missed log or a repeat log.

Admins can review and approve time entries, review time slip or timesheet information, and see the status of projects, all while their employees continue to work. Additionally, if employees want to take a break or use sick days, admins have the ability to grant and approve that time off from the app.

Potential Drawbacks

The mobile app isn’t a full-featured implementation of the web version. The reporting feature doesn’t provide all the options in the web version, so performing detailed analyses still requires switching to the web. Managing complex projects can be difficult on a small screen and performing bulk actions can be inconvenient.

The options for customization and advanced settings are more limited which may require administrators to use the web version. When it comes to full project admin or detailed analysis, the web version cannot be replaced.
